Intake Process

The iCare Therapy Intake
Process - Step by Step

01

Inquiry - Tell Us About Your Family

Fill out our short intake form or call (800) 264-1985. Share whatever you’re comfortable with – your Care Recipient’s age, situation, and any questions you have. A care coordinator will follow up within one business day. No pressure, no commitment at this stage.

02

Insurance Verification - We Handle It

Our care coordinators verify your insurance benefits, confirm ABA therapy coverage, identify any deductibles or cost-sharing, and submit prior authorization. You will receive a clear summary of your coverage before anything is scheduled.

03

In-Home Assessment - Meeting Your Care Recipient

Your Board Certified Behavior Analyst visits your home, observes your Care Recipient in their natural environment, and talks with your family about priorities and goals. This assessment typically uses tools like the VB-MAPP, ABLLS-R, or Vineland depending on your Care Recipient’s age and profile.

04

Care Plan and Authorization

Based on the assessment, your BCBA builds a fully individualized treatment plan with measurable goals. This plan is submitted to your insurer or Medicaid plan for authorization. iCare manages the authorization process from start to approval.

05

Sessions Begin

Once authorization is confirmed, your RBT begins in-home sessions on a schedule designed around your family. Your BCBA supervises, collects data, and adjusts the program as your Care Recipient grows.

FAQ

Frequently Asked Questions About Starting ABA Therapy with iCare

How long does the ABA intake process take?

Most families complete the intake process and receive authorization within 2 to 4 weeks of their first contact with iCare. Timeline varies based on insurance plan and your specific situation. iCare moves as quickly as possible on every step.
No referral is required to contact iCare and begin the intake process. However, most insurance plans – including NC Medicaid – will require a formal autism diagnosis or referral documentation before authorizing ABA services. Our care coordinators will guide you through exactly what is needed.
Assessment tools are selected by your BCBA based on your Care Recipient’s age and profile. Common tools include the VB-MAPP (Verbal Behavior Milestones Assessment and Placement Program), ABLLS-R (Assessment of Basic Language and Learning Skills), and Vineland Adaptive Behavior Scales.
Contact us anyway. Depending on your child’s age and your insurance situation, there may be pathways to begin services. Under-3 children on NC Medicaid may access early intervention without a formal ABA diagnosis. Our care coordinators will help you understand your options.
Yes. Your BCBA will recommend a starting level of hours based on your Care Recipient’s clinical needs. Programs are adjusted over time as goals are met and as your family’s capacity allows.
Life happens. iCare will work with your family to manage schedule adjustments, pauses, or transitions in a way that supports your Care Recipient’s progress and continuity of care.
